Dear Customer,

this document describes the purposes for which we will use your personal data, and the processing methods employed. In addition, you will find addresses and numbers at which we can be contacted for any queries concerning your data.

You are also invited to read the Cookie Policy Statement, which explains clearly how cookies are used on our site and forms an integral part of this privacy statement.

Bear in mind that this Privacy Statement is applicable to any type of information collected by our company via the present website, or by way of e-mails sent to us, or the activity of call-centres at the disposal of customers, or indeed other online platforms such as the websites of our trading partners or social media, or alternatively, whenever you visit one of the service counters at our resorts.

We may need occasionally to make changes to this Privacy Statement, likewise to the cookie statement; should such changes be significant or extensive, we will post them on our website and/or advise you of them by way of other contact media such as e-mail, for example, so that you can view the alterations before continuing to make use of our services.

To keep abreast of developments, in any event, it is advisable to visit this page periodically, and that of the cookie policy statement, to check for updates.

What kind of personal data do we collect?

In order to organize your stay at our resorts, or reply to your enquiries and requests for information, we need to receive certain items of data, for example: your first name and surname, tax code number, date of birth, details of your identity card or other identification document, your contact addresses/phone numbers, also the names, place and date of birth and, if necessary, details of the documents of anyone travelling with you, payment details, special needs if any, and if you are bringing a dog, the health card and insurance certificate of the animal, etc...

These items of information can be collected at the time of submitting a request for a quotation or when booking your holiday, or in the event of your contacting our customer service team, whether directly or via communications media/tools such as social media or the company's own web site, for example.

Should you choose to remit payment for your stay at our holiday resorts using a credit card, our company will use the relative data (including the CVV number) solely for the purpose of debiting the expenses and charges pertinent to your stay at our resorts — in accordance with the general conditions of service that can be consulted on our website — and will neither process nor otherwise record the data in question on other media. If you wish to access our resorts with one or more motor vehicles, even temporarily, you will also be asked at the beginning of your stay to give us the license plate number of each one; this will be entered in a security system and used to control the operation of an automatic traffic barrier on the entry access road, which is opened by a license plate reader. With this system we can ensure that only authorized vehicles are allowed access to our resorts, which means greater security for you and people travelling with you.

Finally, we should point out that during your stay at our holiday resorts, certain moments of daily village life (games, sports, beach activities, etc.) may be photographed or filmed professionally. Our company reserves the right to use the resulting images or video recordings to promote our holiday resorts on various media, and it could happen that you and/or members of your party appear in them, wholly or in part. By accepting our general conditions of service when you book your holiday, accordingly, you automatically express your consent to the use of these images/recordings for the stated purpose.

Remember that we could also receive information concerning you from third parties, namely the tour operator, for example, or other trading partners you may have approached when organizing your holiday.

With regard to the purposes indicated, your personal data may be processed electronically and on paper.

What kind of personal data do we collect?

When you approach our trading partners and give them details of your requests/bookings, they will then send these details to us.

We must also make it clear that we use the services of external providers to manage payments: these service providers share information on payments, helping us to process your transaction and your booking and thereby ensure that you enjoy the best experience possible.

Our trading partners could also share information with us (and we with them) on your situation, for example if queries are raised in connection with a current booking, or if disputes arise over a booking (which naturally we hope will never happen) or if there should be communications with regard to your booking.

Furthermore, it will be remembered that if the booking you make includes other people, or you make a booking in the name of a third party, you will be asked in the course of the booking procedure to indicate the personal data of these people (i.e. first name, surname, date of birth, details of identity card or other such document, contact addresses/numbers, etc.). In this instance, you will need to ensure that the persons in question read this statement before proceeding.

Accordingly, whenever you submit the personal data of third party subjects, you must first obtain their consent to do so. In particular, should you provide data pertaining to minors, you must be able to produce the consent of their parents or guardians.

In effect, our company may ask at any given moment that you furnish proof of this consent; if you are unable to comply, it may not be possible for us to process your request for a stay at the resort.

Lastly, we need you to be aware that whenever you browse our website, we can acquire knowledge of certain details such as, for example, your IP address, the identifier of the browser you use, the URI (Uniform Resource Identifier) addresses of the resources requested, the time of the request, the method used for submitting the request to the server, the numerical code indicating the status of the reply given by the server, and other parameters relating to your IT environment. These items of data are used only to check that the site is operating correctly and, if appropriate, to gather anonymous statistical information on how it is used.

Why do we collect and process your data?

We collect your data in order to manage your bookings to best advantage and offer you the best possible service, and, if you have expressed consent, to contact you and inform you of discounts and special offers open to you.

    - Requests for quotations and/or Bookings: first and foremost, your personal data will be used for the purposes of answering your requests for quotations and/or finalizing and managing your booking.

    - Customer care and communications: you may be contacted by e-mail, post, phone or SMS, depending on the method of communication you have chosen for receiving information from us regarding your stay. In addition, your data may be used for the purpose of responding to your requests for help.

    - Marketing activity: should you have chosen to sign up for our newsletter, we may utilize your details for marketing initiatives relating to holiday packages, offers and promotions put out by our resort in specific newsletters or communications prepared possibly, in certain cases, on the basis of needs and preferences you have expressed, so as to take account of your particular interests. Always remember that you can cancel your subscription to these marketing communications at any time, simply and quickly: you need only click on the "Unsubscribe" link included in every newsletter or, in the event that you may have created a special account, you can cancel by accessing your account directly, or alternatively, by contacting us and asking us to make the cancellation for you.

At this point, we will update your profile to make certain that you do not receive any further marketing messages.

Bear in mind that it could take a few days to update our information systems, and consequently you might continue to receive communications until processing of your request has been completed.

- Comments on the resort and on your stay: during the course of and/or following your stay at our holiday resort, you may be invited to comment on your experience, if you wish (openly or anonymously); in making a comment, you agree that you are happy for it to be posted publicly, for example on our web page or on our social media, so that other potential customers can be informed as to the quality of our resort and the services you have made use of.

    - Legal purposes: also, in certain cases we may need to use your data when preparing communications required by law for submittal to public authorities, when handling and resolving any legal disputes that could arise between us, for investigations by public authorities, for conformity checks, and to ensure observance of the terms of use of our services.

In accordance with article 6 of Regulation (EU) 2016/679, the data described above can be collected, processed and stored by us on the basis of the following principles:

i) to enable performance of the contract, in other words to take care of your booking, or to answer requests for quotations or information, or in order to fulfil a legal obligation we may be under, possibly with regard also to the personal data of third party subjects you may have communicated to us; or

ii) where you have given consent to the use of your details for marketing purposes, unless you decide at any given moment to withdraw your consent, or

iii) for the purpose of pursuing our legitimate interests.

For complete clarity, we should emphasize that, as concerning Requests for quotations and/or Bookings, Legal purposes, Customer care and communications with you, no consent is required for the processing of your data, since the operation is conducted on the basis of the principle expressed in point i) above. Whilst you are under no obligation to provide personal data, you should bear in mind that if such data is not provided, it may become impossible for us to offer the requested service.

The processing of data for marketing purposes, on the other hand, will always require your consent. The provision of personal data for these purposes is not mandatory.

Communication of your data to third parties

We do not and will not sell and/or transfer your personal data (including your name, residential address, e-mail address and credit card details) to third parties. Our aim is to win and retain your trust and we are certain that this promise is absolutely essential if we are to succeed in doing so.

However, to ensure best possible management of your booking and your service, we may need to communicate certain of your details to third parties such as banks, competent authorities and others, for example, involved on whatever basis in the process of delivering services provided by our resort.

Communication of your data to third parties

On occasion, we may need to communicate your personal data to certain categories of third party subjects.

For example, should you or the holder of the credit card used to make a booking happen to ask for a cancellation of your booking, we may need to share certain items of information on the actual booking with the provider of the payment services and with the specific financial institution involved.

Moreover, we share personal data with law enforcement agencies when required by law or if absolutely necessary for the detection, prevention or prosecution of legal proceedings concerned with fraud or offences.

Similarly, we may be forced to share personal data with the competent authorities in order to protect and defend our rights or property, or the rights and property of our trading partners.

When you make a booking at our holiday resort through a tour operator or other trading partner, certain items of data you provide to these parties will also be shared with us.  In like manner, it cold happen that certain items of your personal data may be communicated by us to these same trading partners for the purpose of handling a dispute, a change of booking, etc.

This said, whenever you make a booking through one of our trading partners (or on their site, or using their App), we recommend that you read their privacy statement with care if you want to learn more about how your personal data will be handled, since we have no influence over the terms or conditions they may apply.

In addition, we advise you that your personal data could become accessible to external providers of professional services such as IT consultants who may be carrying out maintenance/update operations on our computer systems; in this eventuality, we make certain that the consultants in question undertake to maintain the confidentiality of all information and ensure it is handled properly.

Finally, we advise you that we may provide third parties with aggregated and anonymized information and analytical data on our customers, in which case we ensure before proceeding that such data cannot be associated with any specific customer.

    Your information and non-European countries

Our company is headquartered in Italy.

Nonetheless, when processing your personal data we may make use of IT systems (i.e. mail providers, data archiving systems) possibly with a server located outside the European Union. In this instance our company undertakes to guarantee observance of the rules contained in Regulation (EU) 2016/679 with regard to the protection of personal data. In particular, concerning the transfer of data to a non-EU country, we will make certain that the transfer takes place in compliance with the provisions of the aforementioned Regulation and of the present statement and that it is governed by standard contractual clauses that guarantee adequate protection for you and your data.

How we manage the security of your data

It is our aim to ensure the security of your data, in compliance with current statutory regulations in matters of data protection.

To this end, we have put in place a set of internal procedures and we make use of special technical-IT security systems.

In addition, we have also prepared and implemented security procedures and technical-physical limitations in order to prevent access to and utilization of personal data on our servers or in our physical archives by unauthorized parties and/or in breach of the purposes indicated in this statement.

Furthermore, we have implemented a system of authorizations allowing only accredited persons to access the data necessary on each occasion for the performance of their tasks, and we ensure that any third party to whom we may disclose your data will undertake to exercise maximum confidentiality and use the relative information exclusively for the purposes indicated in this statement.

How long will we store your data?

Without prejudice to the aforementioned provisions in respect of your credit card details and the license plate of your motor vehicle, your data will be stored for a limited period of time depending on the purposes for which the information was collected, at the end of which your personal data will be erased or in any event irreversibly anonymized.

The period of retention will differ according to the purposes of processing: for example, data collected for the purpose of sending you our newsletters will be retained until such time as you ask us to stop sending them; details of vehicle license plates will be erased at the end of your stay, etc.

Data communicated at the time of booking your holiday, on the other hand, will be retained until all legal, administrative and accounting formalities connected with the process of providing the service have been concluded.

Where applicable, if you have created a personal account, your personal information will be stored for as long as your account exists.

Also, where reasonably necessary or essential in order to fulfil legal or regulatory requirements, manage disputes, prevent fraudulent behaviour and abuse, or for the purpose of applying our contractual terms and conditions (i.e. cancellation of bookings, imposition of penalties, etc.), we may retain certain items of your personal data even subsequent to the closure of your account or to the end of your stay, for the duration required under applicable tax and accounting laws.

We emphasize that content generated by users (i.e. comments and evaluations) will be rendered anonymous, while remaining available on the relative page of our website and/or on our social media.

Your rights in connection with data

There are many statutory rights you possess in connection with your personal data.

First and foremost, you are always entitled to ask for access to the personal data we have collected.

You can also ask that the information be rectified, in the event of errors/changes occurring, or erased.

Similarly, you can ask that the scope of data processing be limited, or you can object to the data being processed at all.

Bear in mind, however, that where personal data may be communicated and processed in fulfilling a legal obligation or, of necessity, in enabling the performance of a contract (i.e. a booking at our holiday resort), a request for data to be erased and/or your objection to processing could make it impossible for us to complete the booking procedure and provide the services you have requested.

Importantly, a withdrawal of consent already given does not affect the legitimacy of processing carried out prior to withdrawal and based on your consent.

Lastly, you are entitled to ask that your data be transferred entirely or in part to another service provider, and to lodge a complaint with the data protection authority as envisaged under article 13 of Regulation (EU) 2016/679.

Should you wish to exercise any of your statutory rights, or if you have complaints or queries, contact us at this address: privacy@isapadova.it.
